1. Information We Collect

Account information: When you create an account, we collect your name, email address, phone number, and dental practice details (practice name, address, NPI).

Patient contact information: Dental practices using DentiVue may enter patient names, phone numbers, email addresses, and related treatment or visit records. This data is entered and controlled entirely by the clinic.

Usage analytics: We collect anonymized usage data such as pages visited, features used, and session duration to improve the Service.

Server logs: Standard server logs including IP addresses, browser type, timestamps, and request paths are collected for security and operational purposes.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service
  • Process payments via our payment processor (Stripe)
  • Send transactional SMS messages to patients on your behalf (appointment reminders, care updates, billing notifications, patient portal links)
  • Generate AI-powered content (visit summaries, educational materials) as part of the Service
  • Provide customer support and respond to inquiries
  • Monitor for errors, security threats, and abuse
  • Fulfill billing and subscription obligations

3. Protected Health Information (PHI)

Dental practices control what patient information they enter into DentiVue. We act as a service provider and protect all data entered by clinics using encryption in transit and at rest, role-based access controls, and audit logging.

We do not sell, rent, or share patient data with third parties for marketing or advertising purposes.

Compliance with healthcare privacy regulations (including HIPAA, where applicable) is a shared responsibility. You are responsible for ensuring that your use of the Service complies with the regulations applicable to your practice. A Business Associate Agreement (BAA) should be executed separately where required.

4. SMS Messaging Privacy

DentiVue may use phone numbers provided by patients or dental practices to send service-related messages such as treatment plan links, appointment reminders, case presentation links, and follow-up care notifications.

When a dental practice uses DentiVue to send messages to patients, patient phone numbers are transmitted to our SMS provider (Twilio) solely to deliver these transactional messages.

Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes.

All SMS communications are used solely for providing DentiVue services requested by the dental practice and its patients. DentiVue does not send marketing or promotional SMS messages. Message frequency varies based on practice activity. Message and data rates may apply.

Patients may opt out of SMS messages at any time by replying STOP to any message. For assistance, reply HELP or contact the dental practice directly. You may also reach DentiVue support at support@dentivue.io.

5. AI Content Processing

When AI features are used, relevant patient visit data is sent to our AI provider (Anthropic) to generate summaries and educational content. This data is used only for the specific generation request and is not retained by the AI provider for training purposes according to their data processing terms.

6. Third-Party Services

We use the following third-party services to operate:

  • Stripe — payment processing
  • Twilio — SMS delivery to patients
  • Anthropic (Claude AI) — AI content generation
  • Amazon Web Services (AWS) — infrastructure and hosting

Each third-party service is governed by its own privacy policy. We share only the minimum data necessary for each service to function.

7. Data Retention and Security

We retain your data for as long as your account is active. If you cancel your account, we will delete your data within 90 days unless retention is required by law.

Patient data is stored in encrypted databases hosted on infrastructure provided by reputable cloud providers. We use encryption in transit (TLS), encryption at rest, role-based access controls, and audit logging to protect your data.

While we take reasonable measures to protect your data, no system is completely secure. You are responsible for maintaining the confidentiality of your account credentials.

8. Your Rights

You have the right to:

  • Access the data we hold about you and your patients
  • Request correction of inaccurate data
  • Request deletion of your account and data
  • Export your data
